A guide to collecting existing recent Snapshots into a Groupshot - great for smaller intervention Groups or if you've accidentally created individual Snapshots instead of a Groupshot for your class or group!


In most scenarios where you're wanting to look at scores across a Group we would strongly recommend doing this by creating a new Groupshot. A Groupshot is an efficient way of collecting Snapshots for more than one child at a time. Those children are generally in the same place at the same time - a good example is a class. Once you have completed a Groupshot for your Group, each of their individual Snapshots will exist in their own right making it quick and simple to go on to consider any individual needs or 1:1 intervention, without the need to duplicate the Snapshot.

In some scenarios though you may need to do this the other way around. We call this a 'Collected Groupshot'. Here are a few examples of those scenarios, although there may be others!

  1. You've done individual Snapshots for your Participants and now want to Group them into a Groupshot for some small group intervention work
  2. You want to group together a small number of Participants from one or more existing Groupshots that you have identified as needing further support through a small intervention group
  3. You are wanting to collect together the Snapshots for a new Group or class of pupils to support transition, until the new member of staff has got to know the new Group well enough to complete their own Groupshot

A few rules around using the Collected Groupshot tool to consider before you begin:

  1. Date range needs to be within 60 days
  2. Assessment type needs to be the same, i.e. Universal OR Comprehensive, not a combination
  3. Snapshots need to have been created within the current Team, i.e. can't have been transferred from another Team such as from Primary to Secondary (this is done on purpose as the environment is SO different it just wouldn't make sense as a Groupshot).
  4. No more than 40 Participants can be included in a Collected Groupshot - this limit should be enough to cover a whole class but avoids Participants being Grouped together in error for data overview purposes, such as whole year groups. This should be done using the filters and reporting features.

How to do it:

Head to the Snapshots page. Filter/sort the list to help you narrow down the Snapshots if you need to - by default this will show you all individual Snapshots, including those from Groupshots, but you can use the filter icon to only show those from Groupshots, or not from Groupshots.

Tick the box next to each Snapshot you want to collect together into a Groupshot. Click on the Bulk button at the top left of the table and select "Collect into Groupshot" (you won't be able to select this if the rules above are not met).

If the Participants you have selected Snapshots for are a complete match with an existing Group it will offer this as an option to select at this next stage. If not, it will ask you to create the Group.

Once you've finished creating or selecting your Group, you'll be taken straight to the new Groupshot results page!

You can create a Group Program from there if you want to by clicking on the Create Program button at the bottom right of that screen.


A few things to note:

  • Once you have created your Collected Groupshot you will be easily able to tell it apart from normal Groupshots by the little test tube icon that is shown next to it on the Groupshots page.

  • The feature doesn't duplicate the Snapshots, it re-groups them into a new Groupshot. The new Collected Groupshot will appear with the current date, but the original dates of the Snapshots (and the original Groupshot if relevant) will remain the same. The Author listed on the originals will not change either.
  • We would advise against editing a Collected Groupshot as it will also edit the original Snapshots within it.
